Description: | Job Summary:
The Office Services Manager will be accountable for creating, reviewing and approving standards, methods and procedures for maintenance of equipment, machinery, buildings and other facilities. The successful candidate will be accountable for planning, budgeting and scheduling of facility modifications including equipment, labor, materials and other related costs. He/she will also be supporting interdisciplinary working teams providing recommendations, advice and action plans for facilities related issues.
Essential Duties & Responsibilities:
- Manages the design, planning, construction, expansion, space allocation and maintanence of buildings, equipment, machinery, utilities, and other facilities throughout the organization
- Oversee the day to day operations and maintence of assigned facility
- Participate in expense and capital budget planning
- Develop and applies new approaches to facility planning, design and construction
- Develop and maintain positive working relationship with landlord and/or property management and external service vendors
- Help implement corporate safety program
- Oversee facilities operations across divisions
- Directly supervises one incumbent
- Manages all Environmental, Health and Safety (EH&S) permits and certifications
- Prepares capital expenditure proposals as well as manages operating budgets of the facilities organization
- Maintain professional appearance of building lobby, and reception area
- Coordinate mailroom, shipping, and packaging functions, and reception duties
- Reviews all invoices that relate to functional expenses
- Review user agreement on equipment, and recommend renewal replacements
Education and background requirements:
Bachelor’s Degree required
- 7+ years of experience as an office manager with emphasis on facilities management
- Familiarity with contract negotiation and review skills including terms and conditions agreements
- Experience with developing and managing a budget
- Familiarity with contracts, leases, budgets, and basic accounting
- Variance report expertise
- Vendor management expert capabilites
